Approve or deny a staff request on your computer

Someone wants a day off, has called in sick, or worked an hour longer than the shift said. Every one of those arrives in the same place, with the shift as it stands next to the shift as they are asking for it. You read the difference, you press one button, and the schedule catches up on its own.

Your team's side of this: Ask for time off

Press Request in the left menu. The number on it is how many are waiting for you. The list opens on the left and the first request opens next to it, so you are already reading one.

  • Every row shows who sent it, what kind of request it is, and how long ago it arrived.
  • The kinds you will see are sick leave, time deviation, cancel shift, change shift, offers and swaps, and availability.
  • Use the search box above the list when a name or a date is easier than scrolling.

The badge counts everything still open. When it reaches zero, nobody is waiting on you.

Click a request to open it. The message is at the top, and under it the shift is shown twice: Current shift on the left, Update shift on the right, with the differences spelled out in the middle.

  • The middle panel lists only what actually moves: the start time, the end time, the break, the total hours, the absence.
  • The total time line is the one to read for cost, because it is the hours you are being asked to pay for.
  • For a swap or an offer, both people are shown, so you can see who ends up with the shift.

Approve and Deny sit in the top right of the open request. That pair answers a sick leave, a time deviation, a cancel shift and a change shift. Two kinds have their own buttons in the same corner: an Availability request shows Ignore all and Approve all, which the step below covers, and a shift offered to another person shows only Deny, because that person has to accept it before it reaches you.

  • Approve writes the change onto the shift. A sick report becomes an absence, a time change moves the hours, a cancelled shift comes off the person.
  • Deny leaves the shift exactly as it was and clears the request from the list.
  • The arrow next to Approve holds the extra outcomes, such as moving a cancelled shift to open shifts so someone else can pick it up.
  • Either way the person who asked sees the answer in their own Requests list.

Approving a change to a published week updates it for everyone straight away. Your team sees the new hours without you republishing anything.

When someone says which days they can and cannot work, that arrives as an Availability request in the same list. It opens as one row per day, grouped under a Week heading, so you answer a run of days one at a time rather than all or nothing.

  • Each row shows a coloured dot for the status asked for, and replaces the old status only when a different one is already approved for that day.
  • Approve on a row copies that day into the approved availability, which is what shows on the schedule while you plan.
  • The bin next to it ignores that day. Ignoring only clears the day from your list: the reported availability stays as it is, and nothing is sent to the staff member.
  • Ignore all and Approve all at the top answer the whole request in one press. There is no Deny on an availability request.
  • The note each person wrote sits under the day, so you get the reason without asking for it.

Approve availability before you build the week, not after. It is the cheapest way to avoid writing a shift someone was always going to ask you to move.
