Create a task list on your computer

The jobs that get forgotten are the ones that only live in somebody's head. A task list is that routine written down once: a name, the steps under it, and the people it belongs to. Everyone sees the same list on their phone, ticks their way down it, and you can see how far it got without asking.

Press Tasks in the left menu. Your lists are down the left, grouped by the day they were last edited, each with a count of how many of its steps are done.

  • Click a list to open it. The one you are reading is highlighted in the column.
  • 2/5 next to a list is how many of its steps are ticked.
  • The search box above the column finds a list by name once you have a few.

Press the add button above the list column. A new list appears straight away, called New task, with the name selected so you can type over it.

  • Name it for the routine, not the day: Opening checklist, Closing checklist, Weekly deep clean.
  • Under the name is a description. One line about when the list is meant to be run saves questions later.
  • The name and the description both save as you leave the field, so there is nothing to press.

Make one list per routine and reuse it, rather than a fresh list every morning. The reset button is what makes that work.

Type a job into Add a task and press the plus, or just press Enter. Each one becomes a line with a tick box, and the list grows in the order you type.

  • One job per line, written as an instruction: "Cash float in the register", not "cash".
  • Ticked lines move down into Completed with the time they were done and who did it.
  • Drag a line by the handle on its left to reorder it into the order the work actually happens.
  • The eye button hides the completed lines when the list gets long.

Keep a list to the steps that matter. A checklist people can finish gets used; a forty-line one gets ignored.

Press the people button on the right of the list to choose who it belongs to. Assign users to task opens: click a row to pick someone, and a coloured ring appears round their avatar. They see the list in their own Tasks, on the phone and on a computer.

  • Search by name or filter by tag to give a list to a whole role at once.
  • The progress bar and the percentage above the list update as people tick lines off.
  • The reset button unticks everything so the same list can be run again tomorrow.
  • The bin in the top corner deletes the list for good.

Reset clears every tick on the list for everyone. Do it at the start of a shift, not in the middle of one.
