Ask for time off from your computer

A shift is yours and life got in the way. You do not need to catch your manager in person: every ask starts from the shift itself, in your own schedule. Pick the shift, say what you need, and the answer comes back to the same place.

Your manager's side of this: Approve or deny a staff request

Sign in and you are on My Schedule: your own week, one row per day, your shifts as coloured blocks. Every ask in this guide starts by picking one of these shifts.

One staff member's week as day rows, with coloured shift blocks showing times and labels like Opening and Closing, and a menu on the left with Requests in it.
  • Move between weeks with ‹ and › in the top right. The calendar button between them returns to the current week.
  • Each block shows the shift's hours and its label, so you know you have the right day before you click.

A day with no shift on it needs no request. To keep days free before the schedule is written, set your availability instead.

Click the shift. The Request Shift Change window opens with that shift at the top, so you can check the date, and four ways to ask.

The Request Shift Change window over the week, with the picked shift at the top and four choices: Report time deviation, Ask for a change, Add a comment, and Report sick.
  • Ask for a change is the time-off one. It opens Cancel shift (drop the shift), Change time (new hours), Offer shift to user and Swap shift (hand it over).
  • Report sick when you cannot come in. The shift becomes an absence once it is approved.
  • Report time deviation when the hours you worked were not the hours on the shift.
  • Add a comment puts a note on the shift without asking to change it.

Offer shift to user and Swap shift ask your workmate before your manager: the workmate accepts first, then the manager approves it.

Every choice ends on the same short form: the shift, the change you are asking for, and a Message box. One honest line is enough. Press the tick and it goes to your manager.

The Cancel shift form in the Request Shift Change window: the shift at the top, an empty Message box, a back arrow bottom left and a tick bottom right.
  • Asking to Change time? Set the new start, end and break here before you send.
  • Picked the wrong thing? The back arrow returns to the four choices. Nothing is sent until you press the tick.

Send it as soon as you know. A week is planned around your shift, and the earlier the ask, the easier the yes.

Open Requests in the menu. Your sent request sits in the list on the left. Open it and you see your message, your shift as it is now, and under it the shift as you asked for it.

The Requests page for a staff member: one sent Cancel shift request in the left list, and the open request showing the message, the Current shift card above the Update shift card, and a cancel button top right.
  • Changed your mind? Press cancel on the request while it is still waiting, and it is withdrawn.
  • When your manager approves it, your week updates by itself. A denied request leaves your shift as it was.

You do not have to keep this page open. The answer shows up in your schedule, so check your week if you are unsure.
